3: 3-step Process for Scheduling an Elluminate Session

With the new, unlimited-seat license to Elluminate, the process for scheduling Elluminate sessions has been further simplified. The steps below explain the process a Moderator (USF Faculty or Staff) would have to follow to schedule and access a session in Elluminate.

  1. Learn about Elluminate at USF.
    Visit: http://www.c21te.usf.edu/elluminate
  2. Get access to a Blackboard Course or Organization.
    Since securing the unlimited seat license to Elluminate in Fall 2008, Elluminate scheduling and access to sessiona dn recordings has been integrated with USF's Learning Management System, Blackboard. Blackboard can be accessed at: http://my.usf.edu and requires a USF netID and password for log in. If you do not have a USF netID or password (all USF Faculty, Students, and Staff that have a USF ID Card can get a USF netID and password) or do not remember your netID or password, visit our tutorial page (tutorial 2) at: http://www.c21te.usf.edu/resources/blackboard/index.htm to learn how to get/modify your USF netID or password. Most USF Faculty have access to a Blackboard Course Shell for their course(s) in Blackboard. For those that do not and for staff that do not have access to a Blackboard course, they can always request an organization in Blackboard and schedule Elluminate sessions from within the organization. If such faculty or staff do not have an organization that they are leading, they can request an Organization in Blackboard as follows: simply log in to Blackboard, click the Organizations tab at the top of the page, scroll to the bottom of the page and click the Request button for Faculty/Staff organizations and fill up the request form. The organization should be created in a day and available for use.
  3. Schedule the Elluminate session within the Course or Organization.
    Within the Blackboard Course or Organization, you can schedule an Elluminate session as follows: click the Communications link in the main menu bar in your Blackboard Course/Organization, click the Elluminate Live! link at the bottom of the page, follow steps 4 to 7 in: http://www.elluminate.com/support/docs/bridge/scheduling-an-elluminate-live-session-in-blackboard.pdf. A more detailed description of this process will be posted shortly. You can invite guest faculty after you have created the session by clicking the Send Email link and emailing them the session information. You and your enrolled students (for course) or participants (for organizations) can access the sessions by simply clicking on the session link in the same space in Blackboard (Communications > Elluminate Live) on the day and time of the session. Recorded sessions can be viewed (usually 1 day after the live session) on the same page by selecting Recorded Sessions from the drop-down menu below the Create Elluminate Live Session button, clicking the Go button alongside, and selecting the appropriate date on the calendar. You can modify a session by clicking the modify button next to a session you created. Only Instructors and TAs (in courses) and Leaders (in Organizations) can create Elluminate sessions. It is recommended that you and your students/participants complete steps 1 and 2 at http://www.elluminate.com/support well before joining your/their first live session. Also view the resources page on our site (http://www.c21te.usf.edu/elluminate/resources.htm) before you conduct your first live Elluminate session to get more familiar with using the software.

This simple 3-step procedure should greatly facilitate session scheduling. If you have problems scheduling your sessions this way or are unable to schedule your sessions this way, please email us at: elluminate@lists.acomp.usf.edu
